What you need to provide before the hire
To ensure your vehicle is available when needed, please provide the following details before the hire begins:

Location: In which city do you need the vehicle?

Dates: When do you need the vehicle?

Pick-up/Drop-off times (or flight details if applicable). One hire day covers a 24-hour period.

Driver Information: Do all drivers meet the insurance coverage requirements? Are any drivers under 25 or over 75? Special conditions apply. International drivers need to provide a passport number and an English-written international driving permit.

Contact Information: Please ensure you provide the correct contact details (phone/email) for vehicle pick-up. If we cannot reach you the day before, the vehicle may not be available at the agreed time.

Payment Information: Who will pay the hire fees? Is a quote required?

Insurance Option: Choose your preferred excess amount.

Vehicle Requirements: Number of wheelchairs, seated passengers, child seats, medical equipment, and luggage.

Security: A valid credit/debit card for security purposes.

Driver Terms: If the hirer is not the driver, they are responsible for ensuring the driver understands the terms and conditions, including insurance excess responsibilities.

What you need to know during the hire:

Driver's Licenses: All drivers must provide a valid license before starting the hire. If a new driver is added during the hire, their license must be submitted for insurance approval.

Tolls: In NSW and Victoria, the hirer is responsible for toll charges. Any unpaid tolls will incur a $50 admin fee. Wheelies Van Rentals covers tolls in South-East QLD.

Roadside Assistance: If needed, advise Wheelies Van Rentals immediately. The hirer is responsible for vehicle keys at all times. If roadside assistance is called for locked keys, the call-out fee will be charged to the hirer.

Vehicle Key Replacement: The hirer is responsible for replacing vehicle keys. Lost keys will incur additional fees for replacement and reprogramming.

Infringement Notices: The hirer/driver is responsible for any fines, including speeding, parking, seatbelt, or phone violations. International drivers should familiarise themselves with Australian road rules.

Vehicle Damage: The hirer must notify Wheelies of any damage. A damage report, including incident details, photos, and driver information, must be provided for insurance claims.

End of Hire: The vehicle must be returned at the agreed time and location. If the vehicle is not refuelled before return, a refuelling fee plus a $55 admin fee will be charged.

Insurance Excess: The vehicle will be assessed for damage, and the hirer will be invoiced for the insurance excess. Standard excess is $1,500, with a reduced option of $500. Additional charges may apply for younger or older drivers.

If delivery is required, please provide the delivery address or postcode.

If you are arriving at an airport, please provide your flight details (time and number) so we can adjust our delivery times to match your arrival. For airport departures, we also need your flight details and estimated drop-off time.

If you require a quote for NDIS or organisational approval, we can provide one. For third parties covering hire costs (e.g., NDIS plan managers), a written quote approval must be received prior to hiring the vehicle.

Confirming your booking:

Once we have all your details, we will email you the full booking information, including terms and conditions. Your booking will also be assigned a unique booking reference number.

Payment: We accept direct debit or credit card payments. Individual hirers must pay before vehicle pick-up, while organisations/third-party approvals can be invoiced before or after the hire starts.

Security Credit Card: All bookings require a security card for booking confirmation.
